Adding Students to Gosfem
Once your school has completed the basic setup and prepared the required student information, you can begin adding students to Gosfem.
Gosfem provides multiple ways to onboard students. You can add students individually, add multiple students at once, or use the Gosfem Excel bulk upload option when you need to onboard a large number of students quickly.
Step 1: Open the Student Admission Form
Log in to your Gosfem administrator account and go to the Students section from the navigation menu.
Click Admission Form to open the student admission page.
The admission form contains the information required to create a student's profile and connect the student with the appropriate school records.
Step 2: Add a Student Individually
If you only need to add a small number of students, you can enter their information individually through the admission form.
Complete the required student information and select the appropriate options for the student's class, section, parent or guardian, category, house, club, and transportation where applicable.
Review the information carefully before submitting the form to create the student's record.
Step 3: Add Multiple Students
If you have several students to add but do not want to enter every student one at a time, you can use the multiple student option available in the admission area.
This allows the school administrator to add several students more efficiently while providing the required information for each student.
This option can be useful when onboarding a group of students at the beginning of a new academic session.
Step 4: Use the Gosfem Excel Bulk Upload
For schools with a large number of students, the Gosfem Excel bulk upload option provides a faster way to onboard students.
Instead of entering each student manually, you can prepare the student information in the required Gosfem Excel format and upload the file through the bulk upload option.
This can significantly reduce the amount of time required to onboard a large student population.
Before uploading your Excel file, make sure the information is complete, accurate, and follows the required format. Carefully check the file for incorrect information or duplicate records before uploading it.
How Your Previous Setup Helps
The information you created during the earlier setup stages becomes useful when adding students. Instead of entering these details as free text, you can select the appropriate records that have already been configured in Gosfem.
Classes and Sections
The classes and sections you created earlier allow you to place each student in the correct academic class and section.
For example, if you have already created a class and its sections, you can select the appropriate class and section when adding the student.
Parents
Parent or guardian records allow you to connect students with the appropriate parent or guardian. This is especially useful for communication and parent access to relevant student information.
Student Categories
Student categories allow you to classify students according to the categories created by your school. The appropriate category can be selected during the admission process.
Student Houses
If your school uses a house system, you can assign the student to the appropriate house during onboarding.
Student Clubs
If your school operates clubs and extracurricular activities, you can associate students with the appropriate club or clubs where supported by the admission process.
Student Transport Route
If your school provides transportation, the student's transport route can be selected during the onboarding process. This helps the school maintain organized transportation records for students who use school transport.
Choose the Best Onboarding Method
The best method depends on the number of students you need to add.
Individual Admission is useful when adding one student or a small number of students and when you want to carefully enter each student's information through the admission form.
Multiple Student Admission is useful when adding several students at the same time and can make the process faster than entering each student separately.
Excel Bulk Upload is recommended when onboarding a large number of students and you already have their information available in a structured spreadsheet.
Important Before Bulk Uploading
Make sure your classes, sections, parents, student categories, student houses, student clubs, and transport routes have been created before preparing your bulk upload data where these records are required.
Check your Excel file carefully before uploading it. Incorrect names, missing required information, invalid values, or duplicate records can cause problems during the onboarding process.
Review Student Records After Onboarding
After adding your students, review the student list and confirm that the records were created correctly. Check important information such as the student's name, class, section, parent or guardian, category, house, club, and transport information where applicable.
For schools using Excel bulk upload, reviewing the imported records is especially important before moving on to other school operations.
Student Onboarding Checklist
Before considering your student onboarding complete, make sure:
✓ Students have been added successfully
✓ Students are assigned to the correct classes
✓ Students are assigned to the correct sections
✓ Parent or guardian information is correctly connected
✓ Student categories are correctly assigned where applicable
✓ Student houses are correctly assigned where applicable
✓ Student clubs are correctly assigned where applicable
✓ Transport routes are correctly assigned where applicable
✓ Imported student records have been reviewed for accuracy

Once your students have been successfully onboarded, your school can continue with other important activities such as configuring student accounts, attendance, fees and invoices, class subjects, examinations, assignments, communication, and other Gosfem features.
