Managing admission inquiries

Menu: Reception, then Admission Inquiry.

Page title: Admission Enquiry.

Record families who ask about joining the school, then keep a follow-up history until they enrol or stop.

Add an enquiry

Click Add at the top right. Fill the form, then click Save.

Name: The parent or guardian who enquired. This is required.

Phone: A number you can call back. This is required.

Email: Optional.

Address, description, and note: Optional details about the family and what they asked.

Date: The day of the enquiry. It defaults to today. This is required.

Next follow up date: The day you plan to call them again. This is required.

Assigned: The staff member who should follow up. The list includes teachers, accountants, librarians, hostel managers, and human resources staff.

Source: How they heard about the school. This is required. Add sources first under Reception Setup if the list is empty.

Reference: Who referred them. Optional. Add references under Reception Setup if you want this list filled.

Class: The class they are asking about.

Child: The child's name.

Find enquiries

Use the filters above the table, then click Find.

Choose a class, a source, an enquiry from date, and an enquiry to date. Status is set to All, which shows every enquiry in that date range. Leave a filter blank when you do not want to limit by that item.

The table shows the name, phone, source, inquiry date, last follow up date, next follow up date, and status. If nothing matches, the page says no inquiry was found.

Follow up

The phone button opens Follow Up Admission Enquiry.

Enter the follow up date, the next follow up date, the response from the family, and a note. All four are required. Click Save.

Earlier follow-ups for that person are listed below, with the date, response, and note. The red button on a follow-up row deletes that one note after you confirm. It does not delete the enquiry itself.

The blue edit button changes the original enquiry. The red delete button on the main table asks you to confirm, then removes the enquiry.
