Preparing to Add Your Students

Now that you have completed the basic setup of your school, including classes, sections, subjects, teachers, and other staff, you are ready to prepare Gosfem for student onboarding.

Before adding your students, there are a few important settings and records that should be configured. These records help Gosfem organize students correctly and make the student onboarding process easier and more complete.

The main items to prepare are Student Categories, Student Houses, Student Clubs, and Parents.

Step 1: Create Student Categories

Student Categories allow your school to group students according to categories used by your school.

To create student categories, go to Basic Settings from the navigation menu and select Student Categories.

Add the categories that your school uses and save them. You can create as many categories as required by your school's organizational structure.

These categories can later be selected when adding or managing students.

Step 2: Create Student Houses

If your school operates a house system, you should create your student houses before onboarding students.

Go to Basic Settings and click Student House.

Create the houses used by your school. For example, your school may have different houses for sports, competitions, activities, or other school programs.

Once the houses have been created, students can be assigned to the appropriate house during the student onboarding process.

Step 3: Create Student Clubs

If your school has clubs and extracurricular activities, you can create them before adding students.

Go to Basic Settings and click Student Club.

Add the clubs available at your school. Examples may include a Science Club, Literary and Debate Club, Press Club, Music Club, Computer Club, Sports Club, or other clubs operated by your school.

Creating these clubs in advance makes it easier to assign students to the appropriate clubs later.

Step 4: Add Parents

Parents should also be prepared before onboarding students because a student's record may need to be connected to a parent or guardian.

To add parents, go to Human Resources in the navigation menu and open the Parent section.

From there, you can create the parent or guardian records required by your school.

Enter the required parent information carefully and make sure the contact details are accurate. This information may be used for communication and for connecting parents with their children within Gosfem.

Why Should Parents Be Added First?

Preparing parent records before adding students can make the onboarding process easier, especially when several students belong to the same parent or guardian.

Instead of creating the same parent information repeatedly, you can prepare the parent record and then associate the appropriate student with that parent when onboarding the student.

Prepare Only What Your School Uses

You do not need to create categories, houses, clubs, or other records that your school does not use. Configure Gosfem according to the actual structure and activities of your school.

For example, if your school does not operate a house system, you can skip the Student House setup. If your school does not use student clubs, you do not need to create club records.

Student Preparation Checklist

Before you begin onboarding students, review the following:

✓ Student categories have been created where required

✓ Student houses have been created where applicable

✓ Student clubs have been created where applicable

✓ Parent and guardian records have been added

✓ Classes have already been created

✓ Class sections have already been created

✓ Subjects have already been created

✓ Teachers and other required staff have been added

You Are Now Ready to Onboard Your Students

Once these supporting records have been prepared, your Gosfem environment is ready for student onboarding.

In the next step, you can begin adding your students, assigning them to the appropriate classes and sections, connecting them with their parents or guardians, and completing their student profiles.
