Understanding user roles

This guide covers Roles in the school admin sidebar. Use it to decide what a secondary administrator can open, create that login, and set the order of their menu.

A role is a set of permissions. Create the role before you assign it. The person you add here is a secondary administrator, not a teacher or accountant. Those staff logins are under Human Resources.

 

Managing staff roles

Menu: Roles, then Manage Roles.

Page title: Manage user roles.

The page also has tabs for Assign roles and Arrange staff menu.

Click Create role.

Role name: Required.

Features: Tick the menus this role may use. Select all ticks every feature. Clear removes them. The search box filters the feature list.

Click Save role. The role appears under Existing roles, with the features shown as labels. If none exist yet, the page says no roles yet.

Edit opens the same form as Update role. Delete asks you to confirm.

Assigning staff roles

Menu: Roles, then Assign Roles.

The form heading is Add administrator.

If you have not created a role, the page says to create a role first. Go back to Manage Roles.

Role, name, email, phone, and password: Required.

Click Save. The person can then sign in with that email and password, and will only see the features on the role.

The list is Secondary administrators. It shows the person, the role, and the contact. Edit changes the account. Delete asks you to confirm. If the list is empty, the page says no secondary administrators yet.

Arranging staff menu

Menu: Roles, then Arrange Staff Menu.

Page title: Arrange staff menu.

This sets the sidebar order for a level-2 administrator. Drag a menu item to a new place. Each row shows the permission name and its ID. Click Save order when the list is in the order you want.

Suggested order

1. Create the role and tick only the menus that person should see.

2. Assign the role to the secondary administrator.

3. Drag the menu into order and save it.
