Exam and Session/Term Setup
The admin must set the current session and term in System Settings before creating an exam and before anyone enters scores. Each exam is stamped with the session and term that are current at the time the exam is created. There can only be one exam for each session and term.
Initial Setup — Once Before First Term
Open System Settings.
Set the session, for example, 2025-2026.
Set the term to First Term.
Choose the report card template and save the settings. The selected report card template should remain in place for the entire session.
First Term
With First Term still selected in System Settings, create the exam. For example, name it 2025-2026 First Term Examination. The exam is stored as the First Term examination for that session.
Open Scores by Class Teacher or Scores by Subject Teacher. The exam list will show only the First Term exam.
Choose the class and student, or choose the subject, and enter the scores. Each score saved is stored as a First Term score against that exam.
To print the report card, open the scores filter, choose Session: 2025-2026, Term: First Term, and the First Term exam, then open the report card.
For First Term, each subject total represents only the score recorded for that term. There is no average yet.
Second Term
Go back to System Settings and change the term to Second Term. Do not change the session. Save the settings.
Create a new exam, for example, 2025-2026 Second Term Examination. The First Term exam remains unchanged. A second exam cannot be created while Second Term is still the current term.
Enter the scores for Second Term. The exam list will now show only the Second Term exam, preventing the previous term's exam from being selected by mistake.
To print the report card, select Session: 2025-2026, Term: Second Term, and the Second Term exam.
For each subject, the report card will show the current Second Term score, the First Term score from the First Term exam, and the average of the two terms.
If a subject has no First Term score, the available score is not divided by 2. Only terms with an actual score are included in the calculation.
Third Term
Set the term to Third Term in System Settings. Keep the same session and save the settings.
Create the 2025-2026 Third Term Examination.
Enter the Third Term scores against the Third Term exam only.
To print the report card, select Session: 2025-2026, Term: Third Term, and the Third Term exam.
The report card will use the First Term, Second Term, and Third Term exams when calculating the subject average.
The subject average is calculated by adding the available scores from the three terms and dividing by the number of terms that have a score for that subject. Any term without a score for that subject is left out of the calculation.
Class Position and Subject Position
Class position and subject position continue to be calculated based on the subject average.
These positions will appear on the report card only when the corresponding switches in System Settings are set to Yes.
