Manage admissions inquiries, visitors, calls, complaints, postal records, surveys, and reception activities.

Staff loans

Menu: Reception, then Staff Loan.

Page title: Loan management.

Record a loan request from a staff member, then approve it, decline it, or mark it paid. Departments must already exist, because the employee list loads from the department you choose.

Click Add new loan to open the form.

The staff member

Department: Required. After you choose it, the employee list loads.

Employee: The staff member borrowing the money. Required. Choose the department first. If you do not, the box says to select a department first.

Loan amount: The amount to borrow. Required.

Purpose: Why they need the loan. Required.

Loan duration: How many days they have to repay. Choose from 1 day to 100 days. Required.

Payment mode: How often they repay. Choices are Daily, Weekly, Bi-weekly, Monthly, Bi-monthly, and Yearly. Required.

The guarantor

These fields are required: guarantor name, guarantor address, guarantor number, relationship, country, state, and city.

Choose the country first. The state list loads from that country, then the city list loads from the state.

The collateral

Collateral name: What is pledged, such as a laptop or a vehicle. Required.

Collateral type: Required.

Collateral make and collateral model: Optional details of the item.

Serial number: Optional.

Collateral condition: Good, Fair, or Bad. Required.

Collateral value: What the item is worth. Required.

Collateral documents: Optional. You can attach a Word file (.docx) or a zip file.

Click Save.

The loan list

Each row shows the date, department, staff name, amount, purpose, duration, mode of payment, guarantor name, guarantor number, collateral name, collateral value, loan status, and payment status.

Loan status can be pending, processing, approved, or disapproved. Payment status shows whether the loan is still unpaid or has been marked paid.

Approve loan: Shown while the loan is pending or processing. Open it and set the status to Approved, Disapproved, Pending, or Processing. If you choose Disapproved, enter the reason. Save the status.

View reasons: Shown when a loan was disapproved, so you can read why.

Pay loan: Shown when the loan is approved and not yet paid. The page asks you to confirm that the staff member has paid the loan in full. Confirm only when the money has been received.

Download: Shown when a collateral document was uploaded.

Delete: Shown when the loan is not approved. It asks Are you sure to delete? An approved loan is not deleted from this button.
