School Admin Guide: Manage Inventories

This guide covers Manage Inventories in the school admin sidebar. Use it to store suppliers, stock items, and sales to students.

A sale that has been saved cannot be edited or deleted. The warning on the sales form says the same thing. Check the class, the student, and the quantities before you save.

Adding suppliers

Menu: Manage Inventories, then Supplier Details.

Name, email, phone, and company name: Required.

Country: Required.

The next two boxes are swapped on the screen. The box labeled City is the state list. The box labeled State is the city list. Choose the state in the City box, then the city in the State box.

Address: Required.

Click Save. The list shows the supplier and the location. Edit changes the supplier. Delete asks you to confirm.

Recording inventory sales

Menu: Manage Inventories, then Inventory Items.

Supplier name, item name, quantity, purchase price, sales price, date added, and alert quantity: Required. Alert quantity is the stock level that should warn you to reorder.

Description: The label has no star, but the box must be filled before Save.

Click Save. The list shows the supplier, item name, quantity, purchase price, sales price, available quantity, total sold, and the date added. Edit changes the item. Delete asks you to confirm. The print action opens a view of the item.

Managing stock

Menu: Manage Inventories, then Inventory Sales.

New sale

Class and student: Required, even though the labels have no star. Choose the class first so the student list can load.

Description: Optional.

Each line has an item and a quantity. The item list shows how many are remaining and the price. Use the plus button for another line and the minus button to remove one.

Read the warning, then click Save. The page waits a moment before it submits.

Sales list

Filter by class, student, session, from date, and to date. All five are required. Click Filter.

The table shows the supplier, items, quantity, purchase price, sales price, total sold, amount received, available quantity, and the sales date. There is no edit or delete on a saved sale.

Suggested order

1. Add the supplier. Remember the City box is the state, and the State box is the city.

2. Add the items, with a purchase price, a sales price, and an alert quantity.

3. Record a sale only after the student and the quantities are correct.
